With Copitrak Scan, businesses can track, manage and assign costs associated with scanned paper documents. Copitrak Scan is available with the Eclipse or Pro terminals. Copitrak Scan allows users to track and bill for scanned jobs in the same fashion that they would for a photocopy.

Users simply enter information regarding their user and account number as they currently do when preparing a photocopy. They execute the scan job at the multifunction device. Copitrak Scan sends the scanned document to a folder in a directory set up to receive scanned documents.

Alternatively, Copitrak Scan can be set up to forward the scanned documents to an email address. Every scanned image is properly counted and the billing information is sent to the Copitrak System Software for billing.

Integrated with all makes and models of multifunctional copy/print/scan devices including Canon, Ricoh, Xerox, HP, Lexmark, Toshiba, Konica, Sharp and others.

• User information and validation is completely managed by the Eclipse terminal
• Copitrak automatically routes jobs to the users' inbox, desktop or personal folders as well as the ability to send jobs to other users via LDAP look up of firm's e-mail addresses and outside addresses.
• Scan Preview displays the scanned job on the Eclipse screen for alignment, pagination and document confirmation prior to distribution.

Routing Scans with the Smart Bar Interface

After logging into the Copitrak System users are presented with available Scanning options. With one touch users can select the appropriate option. The system will prompt the user for additional workflow information if necessary based on the option selected.

• Scan to Person Folder - With a single touch the system will automatically route the Scan job back to the users secure network folder.
• Scan to Desktop - With a single touch the system will automatically route the Scan job back to the user's desktop via the Copitrak Desktop application.
• Scan to Document Management - Compatible with Interwoven, DM5, WorlDox and OpenText the system allows users to easily route and profile jobs directly to DM systems.
• Scan to Email - When selecting this option, the Eclipse will assist the user with locating other users email via Active Directory or the user can simply type in the desired email address. Users can build a distribution list which can be recalled any time in the future.
• Scan to Rightfax - The Eclipse terminal will prompt the user for telephone information and route the job directly to the Rightfax server.

AccuRoute® Integration

The Copitrak Eclipse Terminal with the AccuRoute or DocAccel Plug-in allows Users to easily access all the features and power of those Scan Routing Systems directly from the Eclipse Terminals' Touch Screen.

When accessing any MFP with an Eclipse Terminal Users Press the Scan Button on the Eclipse Terminal and then Authenticate Using the Bio-metric feature, Dedicated Numeric Keypad or with the Alpha-Numeric Keyboard.

After selecting an Account number the Eclipse System will automatically display the Users AccuRoute® / DocAccel® Workflow options including any Personal Distributions, Common Distributions or Scan Directly to the Document Management System. This frees the User from having to print out or keep track of Routing Sheets.

Users will also be able to Scan directly to Email, Fax or Folder and can Scan using the Routing Sheet.

Built-in Scan Preview - The Eclipse Terminal has a built-in Scan Preview Feature which allows Users to quickly preview Scan Jobs to ensure that the Job is oriented correctly, the quality of the Scan is good and that all Pages of the Document were scanned in.

The Scan Preview can be turned on or off by the Individual User.
