Copitrak Editor

Transaction Editing, Cost Allocation and Approvals through Worldwide access to the Copitrak System Software database

The Copitrak Editor is a browser based transaction editor that allows users to view, reconcile and approve exception transactions before being transferred to the Firm's financial system.

Exceptions are defined as transactions that have invalid or missing account information. Typical transactions which flow through the Copitrak Editor are LD phone calls and 3rd party vendor transactions such as FedEx, UPS, Travel charges, Credit card charges, mobile phone charges, calling cards, conference calling and online research (LexisNexis, Westlaw), etc.

Features:

Auto Assignment for Aging Transactions: The Copitrak Editor can be setup to automatically assign transactions remaining in the users account to a personal or expense account. This enforcement feature keeps transactions from building up in a users account.

Email Notification: Users can automatically be sent a personal email message notifying them that they have exception transactions that need attention.The Copitrak Editor can be configured to send messages only when certain notification rules are met and can send messages to both the user and a manager.

Typical notification rules include:

  • Notification of transactions over a given dollar amount
  • Notification for specific transaction types i.e. FedEx, Travel charges, etc.
  • Notification when users Editor Account exceeds a given dollar amount
  • Reminders (x) number of days before month end

Pop-Up Notification: When combined with the Copitrak Desktop a System Tray notification dialog box can be provided as an additional reminder to the user. Pop-up can occur when transactions immediately enter the system or can be based on typical business rules.

Windows Authentication: Users can log into the Copitrak Editor using a personal User ID or the system can be set to use Windows authentication so that the user is automatically logged in when launching the Editor.

Phonebook: The Phonebook feature of the Copitrak Editor will automatically remember any account number that a user charged to a specific telephone number. When the user enters into the Copitrak Editor the Phonebook feature automatically locates any transactions that match calls which have been previously edited and attempts to automatically correct the transaction based on that users history. Users can except or decline the changes.
 
Transaction Approval Mode: In addition to reconciliation and chargeback of costs, the Copitrak Editor has a built in Transaction Approval Mode which allows Firms to better manage costs by requiring Manager approvals for specific types of costs.

Sort and Global Edit: Users can sort viewed transactions by any of the displayed fields. Once sorted, the user can highlight multiple records and make the account entry once to update all records.

Last Edit Recall: Similar to the Last Account Recall this feature provides the user with a list of account numbers they've recently used in the Editor.

Favorite Accounts: This feature provides the user with a self managed list of favorite account numbers that can be accessed to speed correction of account numbers. Numbers setup in the users Favorites will be available across the entire Copitrak system including Copitrak terminals and Copitrak Print.

Account Search: The same super search tool that is found on the Copitrak terminal and Copitrak Print provides the user with a powerful search engine for looking up account numbers based on account number, account name or description.

Web based Reporting via Copitrak System Software

Designed to work with all firewalls, the Copitrak Editor can provide internal and external access to private data. All critical data is kept in the firm's private network ensuring no unauthorized access. The Copitrak Editor requires Microsoft Internet Information Server (IIS).

The Copitrak Editor is fully scalable from the small firm to the largest International firms. Distributed processing is a cornerstone of the design so that performance does not degrade as the system is scaled up. The Copitrak Editor supports an unlimited number of transactions and transaction types.

Fully compatible with other Copitrak products the Copitrak Editor plugs right into the firm's existing Copitrak System giving you a complete enterprise wide expense management system.

The Copitrak Editor includes a Manager Mode that enables one or more authorized users to view and edit data for any user in the system. In addition, the manager mode enables authorized users to create disbursement transactions of any type including copies and faxes that may have been sent off-site.
